Shopify Xero integration

Stop rekeying orders into your accounts. We connect Shopify to Xero so orders, invoices, payments, payouts and GST flow through automatically, and reconcile cleanly at month end.

The manual accounting tax on every Shopify order

Xero runs the books for most Australian DTC brands. Shopify runs the storefront. Without a proper connection between them, someone pays the price in copy-paste, spreadsheets and reconciliation headaches.

01

Rekeying orders by hand

Every sale gets typed or CSV-imported into Xero. It is slow, error-prone and never quite keeps up with volume.

02

Payouts that never reconcile

Shopify Payments and Afterpay settle in lumps, net of fees. Matching those deposits to invoices by hand eats hours each week.

03

GST coded wrong

Mixed tax rates, GST-free items and international orders get mis-coded, so BAS time becomes a clean-up job.

04

No single source of truth

Refunds, discounts and gift cards drift between systems, and nobody trusts either number without checking both.

What syncs, which way

A typical one-way configuration. Two-way sync is available where it earns its keep.

What a proper Shopify + Xero integration covers

We scope the sync to your chart of accounts and tax settings, not a generic template. Here is what a typical build handles.

What syncs

  • Orders as invoices or sales receipts
  • Line items, discounts and shipping
  • GST and tax rates per line
  • Payments and refunds
  • Payout deposits and processing fees
  • Customers and contacts
  • Products and SKUs (optional)

How it works

  • One-way Shopify to Xero by default
  • Triggered on order paid, fulfilled or refunded
  • Near real-time via webhooks, or batched daily
  • Shopify is the system of record for sales
  • Mapped to your existing chart of accounts
  • Handles multi-currency and rounding

Reliability

  • Every sync logged with a full audit trail
  • Automatic retries with backoff on API errors
  • Idempotent writes, no duplicate invoices
  • Alerts to Slack or email on failure
  • Dead-letter queue for manual review
  • Rate-limit aware to respect Xero API caps

How we build it

A staged approach so finance signs off before anything touches your live books.

01

Discovery

We map your Shopify setup, Xero chart of accounts, tax codes and how your bookkeeper wants sales to land.

02

Data-flow design

We agree exactly what syncs, which direction, on what trigger, and where Shopify or Xero is the source of truth.

03

Build

We build the integration, app, middleware or hosted connector, mapped to your accounts and GST rules.

04

UAT

We test against real orders in a sandbox: multi-currency, refunds, part-fulfilments and edge cases, signed off with your finance team.

05

Deploy

We go live with a backfill plan, monitoring switched on and a rollback path if anything looks off.

06

Monitor & support

We watch the logs, handle Xero and Shopify API changes, and fix failures before they reach your BAS.

What a Shopify + Xero integration costs

Typical AUD ranges, scoped after discovery. Where an off-the-shelf connector fits, we will tell you, it is often the cheaper answer.

Shopify Xero integration FAQs

Both. Orders and refunds typically sync near real-time via webhooks; payouts and fees are best batched daily once Shopify settles them net of fees. We choose per data type.
Off-the-shelf connectors like Xero's own or A2X work well for standard setups. We recommend them when they fit and build custom only when your chart of accounts, tax logic or volume needs it.
If we build custom, we host it on infrastructure you own, or ours under a support retainer. Either way you keep the credentials and the audit trail.
Failed syncs retry automatically with backoff, sit in a queue if they keep failing, and alert us. Nothing is silently dropped, and no invoice is duplicated.
Sales flow one-way Shopify to Xero for most brands. We add two-way only where it pays off, such as syncing stock levels or product data back to Shopify.
We map each line to the right Xero tax rate, standard GST, GST-free and international, so your BAS reconciles without manual recoding.
