Shopify workflow automation for lean Australian teams

For operations and fulfilment teams losing hours to manual tagging, routing and status chasing. We turn the same repeated back-office steps into automations that just run.

Manual work worth automating

None of this needs a person. It needs a rule that runs the same way every time.

01

Manual order tagging

Someone tags orders by hand for risk, VIP status or fulfilment routing.

02

Slow order routing

Orders sorted to the right 3PL, warehouse or location by a person, not a rule.

03

Status chasing

Staff refreshing screens to see which orders shipped, held or failed.

04

Copy-paste reporting

Daily exports into spreadsheets to move data no one wants to touch.

05

Ad-hoc notifications

Important events flagged in a group chat, if someone remembers.

06

Repetitive customer admin

High-risk holds, refunds and cancellations handled step by step, every time.

Shopify Flow or custom automation?

The cheapest answer that holds up wins. Here's how we decide with you.

Shopify FlowCustom automation
Best forStandard triggers and actions inside ShopifyLogic, systems or volume Flow can't handle
Runs onShopify's own Flow engineMiddleware we build and host or hand over
Typical useTagging, holds, simple notificationsMulti-system routing, custom rules, high volume
CostLower, configured and testedHigher, designed and built
LimitsBounded to available connectorsEffectively none, if a system has an API

Is this the right fit?

A good fit if

  • You run real order volume and the same manual steps repeat daily.
  • Your team copies data between Shopify, spreadsheets and other tools.
  • You want rules that run consistently, not depend on who's on shift.
  • You've outgrown what a single off-the-shelf app can automate.

Probably not us if

  • You need a one-off data fix, not a repeatable automation.
  • The process still changes weekly and isn't settled enough to encode.
  • You want to automate a broken process rather than fix it first.
  • You're on another platform, we're Shopify-only.

What's included and what we automate

A working reference, not a limit. Most automations run on Shopify Flow; where Flow can't reach, we build the custom piece.

What's included

  • Automation audit and opportunity map
  • Trigger, condition and action design
  • Shopify Flow build and testing
  • Custom middleware where Flow can't reach
  • Logging, alerting and error handling
  • Documentation and handover

Automations we build

  • Order tagging and segmentation
  • Order routing to 3PL, warehouse or location
  • Fraud and high-risk order holds
  • Fulfilment and dispatch notifications
  • Inventory and low-stock alerts
  • Customer and B2B account tagging
  • Refund, cancellation and return workflows
  • Scheduled reports and exports

Technology & triggers

  • Shopify Flow
  • Admin API and GraphQL
  • Webhooks and event subscriptions
  • Scheduled jobs and queues
  • Slack, email and Teams notifications
  • Klaviyo, ERP and 3PL connectors

How we deliver

Most automation projects run 2–5 weeks, depending on how many workflows and systems are involved.

01

Automation audit

We map the manual steps, their triggers and how often they run.

02

Prioritise

We rank automations by time saved and risk removed, then agree a scope.

03

Design

We define each trigger, condition and action, and where Flow ends and code begins.

04

Build & test

We build against a development store, with logging in from the start.

05

UAT

You validate real orders and edge cases against agreed criteria.

06

Launch & monitor

Controlled rollout with alerting, then tuning as real volume comes through.

Built to run unattended

Automations fail quietly when they're built carelessly. Ours are built to be seen, recovered and trusted.

  • Every automation logs what it did and when
  • Failed actions alert your team, not just disappear
  • Safe re-processing so nothing is silently skipped
  • Guards against loops and duplicate actions
  • Tested against real order edge cases before launch
  • Least-privilege API scopes and signed webhooks
  • Documented so any developer can pick it up

Investment

Cost tracks how many automations you need and whether Flow can carry them. Typical, scoped after discovery:

Number of automations and how they interconnectWhether Shopify Flow covers it or custom middleware is neededNumber of systems each automation touchesOrder volume and error-handling requirementsReal-time versus scheduled triggersWhether we host the middleware or hand it over

Flow automation package

$3,500–$7,000

A scoped set of Shopify Flow automations, built and tested.

Custom automation build

$9,000–$18,000

Webhook or middleware-driven automations beyond Flow's reach.

Automation retainer

from $600/month

Monitoring, error handling and new automations as you grow.

Frequently asked questions

Not usually. Shopify Flow is available on standard Shopify plans, and most automations run on it. Plus only matters for higher-tier connectors or very high volume, we'll tell you before you pay for it.
Flow is Shopify's built-in automation tool, great for tagging, holds and simple notifications using ready-made triggers and actions. When your logic, systems or volume outgrow Flow, we build a custom service that does what Flow can't, and often combine the two.
Yes. Automations sit alongside your apps and theme, reacting to events rather than replacing anything. We test against your live setup so nothing you rely on breaks.
Most automation projects run 2–5 weeks, depending on how many workflows and systems are involved. A single Flow package can be quicker; multi-system middleware takes longer.
You do. Flow automations live in your store, and any custom code is delivered with source, documentation and repository access. You're never locked into us to change a rule.
We design for failure, not just the happy path. Actions are logged, failures alert your team, and records are queued for safe re-processing so nothing is silently lost.
We can, but we'll be honest if a process is too unsettled to encode well. Sometimes the right first step is tightening the process, then automating the stable parts.
We monitor the automations, handle errors and tune rules as your volume grows. Many clients keep us on a retainer to add new automations as the business changes.
